Creating a Standard Poker Run Event

Step by step instructions on creating a poker run event in the Aces Poker Run app.

Setting up a poker run event in the Aces Poker Run app is simple with our step-by-step event creation wizard. Follow this guide to launch your event and prepare it for registration.


๐Ÿ“ Where to Start

Manage Events > Tap the blue โ€œ+โ€ icon to Create a New Event


โ€‹(This icon appears in the top right of the Manage Events screen)


๐Ÿ“ Step 1: Event Info

Start by providing your basic event details.

Youโ€™ll be prompted to complete the following required fields:

Description

Event Name

Give your event a descriptive name (e.g., Lakeview Charity Run 2025)

Event Type

Select your category: Boat, Motorcycle, ATV, etc.

Description

Provide a brief overview: cause, prizes, or any special notes

Event Date

Date your event takes place

Registration Start Date

When participants can start signing up

Optional Fields

Multi-day toggle, search visibility, registration code, max number of hands

You can also:

  • Upload a custom event logo

  • Expand โ€œShow more optionsโ€ to configure advanced preferences

Once complete, tap Next to continue.


๐Ÿ› ๏ธ Step 2: Card Setup & Stop Rules

Decide how participants will receive their cards and how theyโ€™ll navigate your event.

Card Distribution

Choose between:

๐Ÿ”ฒ QR Code Scan โ€“ Participants scan a QR at each stop

โฑ Timed Release โ€“ Cards are automatically dealt at set times

๐Ÿ“ GPS Release โ€“ Cards are dealt when participants physically arrive at a stop

Stop Order

๐Ÿงญ Ordered Stops with Catchup Cards (Default) โ€“ Skipped stops are dealt at the next one

๐Ÿ“ Ordered Only โ€“ Stops must be visited in order

๐Ÿ—บ Pick Your Own Route โ€“ Stops can be visited in any order

Click Next to proceed to your first stop setup.


๐Ÿ“ Step 3: Create Your First Stop

Now define where the event starts.

Fill out the stop details:

  • Stop Location: Type and select from Google Maps

  • Label: Auto-fills based on location (can be customized)

  • Arrival/Departure Time: Controls when the stop is open

  • Cards Dealt at This Stop: Set how many cards are distributed here

  • Additional Info: Optional field for specific instructions (e.g., parking details)

Click Next once the stop is complete.

๐Ÿ“ You can add more stops later after the wizard is complete.


๐Ÿ’ต Step 4: Set Your Pricing

Set fees and extras available to participants:

Fees per Hand

Base price per registration/hand

Collect Fees in App

Enable to sell through the app using Stripe

Service Fee Included

Toggle to include or pass on Stripe fees

Offer Extra Cards

Toggle to allow optional add-on cards for strategy or fundraising

Click Next when ready.


โœ… Final Step: Review & Publish

Youโ€™ll see a success screen confirming that your event has been created!

From here you can:

  • Add additional stops

  • Configure trackers, waivers, event managers

  • Connect your Stripe account for payouts

Tap Publish Event to make your event visible and allow participant registration
Or choose Skip for now to continue setup later

Your event will now appear under Manage Events.
