Creating a Standard Poker Run Event

Setting up a poker run event in the Aces Poker Run app is quick and guided through our event creation wizard. Follow these steps to launch your event and prepare it for registration.


📍 Where to Start

Navigation: Manage Events → Tap the blue “+” icon in the top right.

This opens the event creation wizard.


📝 Step 1: Choose Event Format

Select your event type:

  • Traditional Poker Run (Available Now) – Classic poker run with custom stops and routes.

  • Aces Golf Run Event – Golf course–based event with hole-by-hole card distribution.

  • Aces Connect Event – Golf course–based event with hole-by-hole card distribution.

Tip: The Golf Event format is in development. Choose Traditional Poker Run for all current events.

Tap Next to continue.


📝 Step 2: Event Info

Enter the basic details for your event. Required fields are marked with a red asterisk (*).

Field

Description

Event Name*

Give your event a descriptive title (e.g., Lakeview Charity Run 2025).

Event Type*

Select from available categories (Boat, Motorcycle, ATV, etc.).

Description*

Briefly describe the event’s purpose, cause, prizes, or special notes (max 500 characters).

Registration Start Date*

Date when participants can begin registering.

Event Date*

Date your event will take place.

Event Begin Time*

Start time for your event.

Event End Time

Optional; leave blank if not needed.

Optional Toggles:

  • Multi-Day Event – Enables different start/end dates.

  • Require Code to Register – Restricts sign-up to those with a code.

  • Exclude from Search – Keeps your event hidden from public search.

Other Options:

  • Upload a custom event logo.

  • Use Show more options to configure advanced preferences.

Tap Next when finished.


🛠️ Step 3: Card Setup & Stop Rules

Total Cards per Hand

Choose the number of cards participants will receive in each hand: 5 to 10 cards.

Important: If you set 10 cards per hand, you will not be able to offer the “Extra Card” purchase option later (we max out at 10).
If you want to allow Extra Cards, choose 9 or fewer cards per hand here.

Card Ranking

All hands are ranked based on the best five-card poker hand regardless of total cards chosen.

Card Distribution Options

  • QR Code Scan (Most Common) – Participants scan a QR code at each stop to receive their card.

  • Timed Release – Cards are automatically dealt at set times.

  • GPS Release – Cards are dealt when the participant arrives at the stop location.

Stop Visit Order

  • Ordered Stops with Catchup Cards (Default) – Skipped stop cards are given at the next stop.

  • Ordered Only – Stops must be visited in exact order.

  • Pick Your Own Route – Stops can be visited in any order.

Tap Next to proceed.


📍 Step 4: Create Your First Stop

Enter the details for your first event stop:

Stop Location*

Search for and select a venue or address.

Label*

Auto-fills from location; can be edited.

Begin/End Times

Optional; limits when stop is active.

Cards Dealt at This Stop*

Number of cards given here.

Additional Info

Optional notes (e.g., parking details).

Tap Next when done.


💵 Step 5: Event Items & Pricing

Configure pricing and available extras for your event.

Field

Description

Fees per Hand*

Base price per registration or hand.

Collect Fees in App

Toggle on to process payments through Stripe.

Absorb Stripe Processing Fees

Toggle on to cover Stripe’s processing cost so participants pay a flat rate.

Limit the Total Number of Hands You Sell for This Event

Limits the total number of hands that can be sold across all participants for the event. If enabled, a box appears where you can enter the maximum number of hands available. Once the limit is reached, new registrations or hand purchases will be blocked.

Set the Total Number of Hands Each Participant Can Buy

Controls how many hands an individual participant may purchase. The system default is 20, but you can restrict it anywhere between 1–20 hands per participant.

Offer Extra Cards

Toggle on to let participants buy additional cards. Unavailable if 10 cards per hand was selected earlier.

Extra Card Fee*

Price per extra card (only visible if “Offer Extra Cards” is enabled).

Allow Purchase After Registration

Allows participants to buy extra cards after initial registration until their third card is dealt.


✅ Final Step: Review & Publish

You’ll see a confirmation that your event has been created. From here you can:

  • Add additional stops.

  • Create trackers, waivers, and event managers.

  • Connect your Stripe account for payouts.

Tap Publish Event to make your event live, or Skip for now to finish setup later.


📍 What’s Next?

Your event will appear under Manage Events. You can return any time to:

  • Update event details

  • Add or edit stops

  • Manage items, trackers, and more
