Event Stops

Here's how to create and configure a stop during your event setup.

Each stop in your Aces Poker Run event is a location participants will visit during your event. Stops may or may not distribute cards, depending on your event setup.


πŸ“ Where to Find It

  1. Navigate to Manage Events

  2. Select your event

  3. Click the pencil icon next to Event Stops

To create a new stop β†’ click Add New Stop
To edit an existing stop β†’ click the ellipsis (β‹―) next to the stop and choose Edit


✍️ Stop Setup Fields

Field

Description

Stop Location

Start typing an address or venue name. Aces will auto-complete based on your input. (Required)

Label

Optional nickname for the stop (e.g., "Start Line – Marina Dock").

Begin Time

The time the stop opens. Participants cannot receive cards before this time. (Required)

End Time

The time the stop closes. Cards won't be dealt after this time. (Required)

Begin Date / End Date

Appears if your event is marked as multi-day; otherwise, the event's default date applies automatically.

Cards Dealt at This Stop

Choose how many cards are distributed here β€” including 0 cards if you want the stop for check-ins, activities, or tracking only. Most runs use 1 card per stop.

Additional Information

Optional instructions or notes for participants (e.g., "Look for our tent near the dock entrance"). Max 500 characters.

Hide stop information from participants

Toggle ON to keep this stop's location and details private. Participants see "Details will be announced later." in place of the stop name and address, and cannot check in until you reveal it. Toggle OFF at any time to make the stop visible. (Not available for golf events.)

πŸ’‘ You can also toggle stop visibility directly from the Event Stops list without opening the edit form β€” look for the visibility toggle beneath each stop row. A Hidden label (in amber) appears next to any stop that is currently hidden.


🧭 Card Distribution Rules for Events with More Stops than Cards

  • You can add as many stops as you want as long as all the cards you set for the event are distributed.

  • If your event has more stops than cards and you want cards given out at stops until all cards are dealt:

    • Example: A 10-card event with 20 stops β†’ Participants get a card at the first 10 stops they visit; any stops visited after they've received all 10 cards will be recorded as visited but no additional cards will be given.

  • If you want participants to be able to get a card at any stop, even when there are more stops than total cards, contact us to help configure this special setup.


🧭 Tips for Stop Setup

  • βž• Add multiple stops by repeating the process above.

  • πŸ”„ To change the order of your stops, use the Reorder Stops feature β€” see the section below.

  • ⚠️ Ensure Begin Time is before End Time β€” validation will prevent saving otherwise.

  • πŸ“… For multi-day events, stop dates must align with the event date range.


πŸ”„ Reordering Your Stops

The Reorder Stops screen lets you rearrange your stops using drag-and-drop, setting the exact sequence participants will follow and determining which stop delivers which card number.

Manage Events β†’ Select Event β†’ Event Stops β†’ Reorder Stops

The Reorder Stops button appears at the top of your stop list once you have more than one stop configured.

How to Reorder

  1. On the Reorder Stops screen, all your stops are listed in their current order.

  2. Press and hold the drag handle (☰) on the right side of any stop row.

  3. Drag the stop up or down to the desired position.

  4. Release to drop it in place.

  5. Tap Save when finished to lock in the new sequence.

⚠️ Why order matters: In a standard event, Stop 1 deals card #1, Stop 2 deals card #2, and so on. Changing the stop order after participants have already begun scanning may affect their card assignment sequence. Reorder before your event goes live whenever possible.


πŸ’Ύ Saving Your Stop

  • Click Save to finalize your stop and return to the stop list.

  • Click Cancel to discard changes and return without saving.

  • Stop Location: Art & Jake's Sports Bar

  • Label: Stop 1 – Check-in

  • Begin Time: 8:00 AM

  • End Time: 9:00 AM

  • Cards Dealt: 1 (or 0 if check-in only)

  • Notes: "Check-in and grab your wristbands at the patio tent."

  • Make sure all required fields are filled out.

  • Check that Begin Time is before End Time.

  • For multi-day events, ensure the dates are within your event's duration.
