π Event Info
The Event Info screen is where you enter and manage your core event details β including name, description, dates, type, and visibility settings.
This is the foundational setup step for every event.
π Where to Find It
To access this screen:
Manage Events β Select Event β Edit Event Info
βοΈ Basic Event Details
Field | Description |
Event Name | The name shown to participants in search results and event pages |
Event Type | Select from Boat, Snowmobile, Motorcycle, Golf, etc. |
Description | A short summary (up to 500 characters) explaining your event |
Event Date | The primary event day |
Registration Start Date | When participants are allowed to begin registering |
π‘ Registration Start Date controls when the Register button becomes available.
If registration is closed manually, this date does not override that setting.
π About Prizes & Awards: Aces does not award or pay out prizes of any kind. If your event includes prizes, you may optionally describe them in the Description field so participants can see the details on the event page. Prize distribution is entirely at the organizer's discretion.
π Multi-Day Event
Enable this if your event spans multiple days.
When enabled:
You can assign specific dates to stops
Participants' hands can automatically catch up if they join mid-event (depending on event type)
Multi-day scheduling ensures correct card sequencing and leaderboard tracking
This is ideal for destination runs, weekend events, or tournaments.
π Require Code to Register
Turn this ON to restrict access to your event.
When enabled:
You must enter a Registration Code
Participants must enter that code before registering
This is perfect for:
Invite-only events
Sponsor-only events
Private club events
π Event Visibility (Public vs Private)
You can control whether your event appears in search results.
Public Event
Visible in app search
Discoverable by location filters
Private Event
Hidden from search results
Accessible only via direct link or registration code
β οΈ Setting your event to Private does not unpublish it. A Private event is still live and active β participants with a direct link or registration code can still view and register. To fully take an event offline, use Manage Events β Select Event β More Event Options β Unpublish Event.
π‘ For Test/Small events, we strongly recommend making them Private with a password to prevent accidental registrations.
π Organizer Contact Information
Tap Show more options at the bottom of Event Info to access organizer contact fields. These details appear on the Contact Organizer page that participants can access from their event menu.
Field | Description |
Contact Name | The name shown to participants as the event contact point |
Contact Phone | A phone number participants can tap to call directly. Must be a valid US phone number. |
Contact Email | An email address participants can tap to open their mail app with the address pre-filled |
All three fields are optional. Any field left blank displays as "Not available" to participants.
π Leaderboard Visibility
Tap Show more options at the bottom of Event Info to access leaderboard visibility controls. This setting determines whether and when participants can see the leaderboard during your event.
Option | What Participants See |
Show leaderboard (default) | Leaderboard is visible to all participants at all times. |
Show after last card | Hidden until a participant receives their final card. Once at least one hand is complete, the leaderboard appears showing only finished hands, re-ranked among completers. |
Hide leaderboard | Leaderboard is not visible to participants during the event. |
π‘ Organizers and event managers (admins) can always see the leaderboard regardless of this setting. A caution banner appears on the leaderboard screen when it is hidden from participants.
You can also change this setting at any time directly from the Leaderboard screen β tap the gear icon (β) while viewing the leaderboard.
π Registration & Hand Limits
Hand limits are now managed in the Sales & Event Items section.
There are two types of limits:
π₯ Per-Participant Hand Limit
Limits how many hands each participant can purchase (1β20).
π¦ Total Event Hand Limit
Caps the total number of hands available across all participants.
When the total limit is reached:
Registration closes automatically
No additional hands can be sold
πΎ Saving Your Event Info
After making changes, tap Save.
You can return anytime to update:
Event name or description
Dates
Visibility settings
Registration code
Organizer contact information
Leaderboard visibility
Note: Sales settings, pricing, and Will Call options are managed under Sales & Event Items, not here.
β οΈ Important Distinction
Closing Registration stops new participants from signing up.
Closing the Event finalizes the event, freezes leaderboard results, and initiates payout processing (if applicable).
These are separate actions.
