πŸ§ͺ What Is a Test / Small Free Event?

A Test / Small Event is a free version of an Aces Poker Run event designed to let organizers:

  • βœ… Test and evaluate the app

  • βœ… Practice event setup and card dealing

  • βœ… Experience registration and gameplay

  • βœ… Run a small friends-and-family poker run

This version does not require:

  • A Stripe account

  • A payout account

  • A payment method for licensing fees

It allows you to explore the platform risk-free before hosting a full-scale event.

🎯 Why We Offer It

We know that trying new technology can feel like a big step β€” especially for fundraisers and volunteer-led events.

The Test / Small Event gives you a hands-on way to:

  • See how registration works

  • Test QR or GPS card dealing

  • Experience real-time scoring

  • Explore event management tools

  • Understand the participant experience

It’s the best way to get comfortable with the platform before launching a paid event.

βš™οΈ What’s Included

The Test / Small Event is fully functional with core features enabled:

  • Online registration

  • Real-time leaderboard

  • QR code or GPS card dealing (based on event type)

  • Event management tools

  • Participant tracking

  • Reports and transactions (no real payments)

You get the full event experience β€” just with usage limits.

🚫 Limitations

To keep this version free, there are a few restrictions:

Limitation

Details

πŸ‘₯ Participants

Maximum 10 participants

πŸƒ Hands

1 hand per participant (10 hands total)

πŸ”„ Hand Transfers

Participants cannot share or transfer hands

πŸ’° Event Item Settings

Sales & Event Item settings cannot be modified

🏷 Will Call

Not available

πŸ’³ Payments

No Stripe setup required, no online payments

πŸ’² Licensing Fees

No Aces licensing fees

Because this is a free version, advanced sales configuration options are disabled.

πŸ“± Registration

Even though this is a free event:

  • Participants still register through the app

  • They must download the app

  • They create or log into their account

  • They are assigned one hand automatically

This gives you a realistic preview of how your full event will operate.

πŸ” Important Recommendation

We strongly recommend setting your Test / Small Event to:

  • βœ… Private

  • βœ… Password Protected

This prevents accidental registrations from people browsing public events.

To do this:

Manage Events β†’ Select Event β†’ Edit Event Details β†’ Set Event to Private β†’ Add Registration Password

πŸ‘¨β€πŸ‘©β€πŸ‘§β€πŸ‘¦ Can I Use This for a Real Event?

Yes β€” many organizers use this format for:

  • Small community events

  • Family poker runs

  • Practice runs before a fundraiser

  • Demo events for sponsors

Just remember the 10 participant / 10 hand limit cannot be increased.

If you expect more than 10 participants, you’ll need to create a standard In-App or In-Person event.

πŸ”„ Upgrading Later

If you decide to move forward with a full event:

  1. Create a new event

  2. Choose In-App Sales or In-Person Sales

  3. Configure your payment and payout methods

  4. Set your event pricing and options

The Test / Small Event cannot be converted into a paid event.

πŸ”„ Moving to a Full Event

A Test / Small Event cannot be converted into a paid or full-capacity event.

If you need:

  • More than 10 participants

  • Multiple hands per participant

  • Will Call functionality

  • Full Sales & Event Item settings

  • Online payments with Stripe

You will need to create a new event and select either:

  • In-App Sales, or

  • In-Person Sales

Your Test / Small Event is purely for evaluation or small free events and cannot be upgraded.
