Hidden Stops — Keeping Stop Details Private Until Event Day

Learn how to hide stop locations from participants and reveal them when you're ready, and what participants see in the meantime.

Written by Aces Help

The Hidden Stops feature lets you keep a stop's location and details private until you're ready to reveal them. Participants see a placeholder instead of the stop name and address — they know a stop exists, but not where it is.

This is useful for surprise stops, route reveals on event day, or keeping locations under wraps until the last minute.

Hidden stops apply to traditional poker run events only — golf events are not affected.

📍 For Organizers: How to Hide a Stop

There are two ways to hide a stop:

Option 1: From the Stop Edit Form

  1. Go to Manage Events → Select Event → Event Stops

  2. Tap the ellipsis (⋯) next to a stop and choose Edit

  3. Toggle Hide stop information from participants to ON

  4. Tap Save

Option 2: Directly from the Stops List

  1. Go to Manage Events → Select Event → Event Stops

  2. Find the stop in the list

  3. Use the visibility toggle shown beneath the stop row to switch it on or off — no need to open the edit form

When a stop is hidden, it displays a Hidden label (in amber) in your manage stops list so you can see its status at a glance.

👁 Revealing a Stop

To make a stop visible again, simply toggle it back off using either method above. The change takes effect immediately — participants will see the full stop details as soon as you reveal it.

👥 What Participants See

When a stop is hidden, participants will see a numbered placeholder in place of the stop name and location:

  • In their event stops list: "Details will be announced later."

  • In the next stop preview on the Your Events screen: "X. To Be Revealed"

No address, venue name, arrival time window, or additional notes are shown for a hidden stop.

🚫 Check-In Behavior for Hidden Stops

Participants cannot check in to a hidden stop. If they attempt to:

  • They will see the message: "This stop is not yet available."

  • No card will be dealt

Once you reveal the stop, participants can check in normally.

📋 Bulk Check-In and Hidden Stops

When using the Bulk Check-In feature from event management:

  • Hidden stops appear in the stop list but are disabled — they cannot be selected

  • A Hidden label is shown next to each hidden stop

  • The Select All count and checkbox exclude hidden stops

For a full guide to the Participants screen and Bulk Check-In workflow, see the Participants Screen & Bulk Check-In article.
