Unpublishing an Event

Learn how to revert a published event back to setup status, what changes for participants, and the impact on active registrations.

If you need to take a published event offline — to make major changes, postpone, or correct a setup error — you can unpublish the event to revert it back to setup (draft) status.

⚠️ Private Is Not the Same as Unpublished

Setting your event to Private does not unpublish it. A Private event is still fully live and active — it is simply hidden from app search results. Participants who have your direct link or registration code can still find and register for a Private event.

To completely take an event offline so that no one can view or register for it, you must use the dedicated Unpublish Event option described below.

📍 Where to Find It

Manage Events → Select Event → More Event Options → Unpublish Event

The Unpublish Event option appears in the event's action menu when the event is published but has not yet started.


⚠️ What Happens When You Unpublish

  • The event is no longer visible to participants in the app — it will not appear in browse or search results

  • New registrations are blocked until you re-publish

  • Participants who are already registered retain their registrations in the system, but they cannot view the event until it is published again

  • The event returns to Setup status, allowing you to edit all event settings, stops, pricing, and other configuration


📌 When to Use Unpublish

  • The event was published before setup was complete

  • You need to change registration pricing, stop locations, or event dates

  • The event needs to be postponed before it has started

  • You want to take the event offline temporarily while communicating changes to registered participants


🚫 Limitations

  • Cannot unpublish an in-progress event — once card scanning has begun, the event cannot be reverted to setup status

  • Cannot unpublish a closed event — events that have been closed are read-only and cannot be changed

  • Registered participants are not automatically notified — if you have active registrations, communicate the change to your participants before unpublishing


✅ Re-Publishing After Changes

Once your changes are complete:

  1. Review all event settings and stops

  2. Tap Publish Event from the event setup screen

  3. The event becomes visible again and new registrations re-open

Participants who were already registered will see the event again in their Your Events screen once the event is re-published.
