Create a Golf Poker Run Event

Easily set up a golf-themed poker run using the Aces Poker Run app. Golf events work great for fundraisers and tournaments—each hole acts like a "stop," and cards are dealt as participants play.

📅 Step 1: Go to Manage Events

  • From the Home screen, tap the Manage Events button (located in the bottom navigation bar).

  • Tap the blue "+" icon in the upper-right corner to create a new event.


🏏 Step 2: Choose Event Type

  • When prompted, select "Golf Event" as your event type.

  • This will tailor the setup to the golf format and present relevant options.


📖 Step 3: Enter Basic Event Details

Fill out the required information:

Description

Event Name

A short, descriptive name (e.g., Charity Golf Poker Run 2025)

Start & End Date/Time

Define when the event will begin and end (typically one day)

Event Description

Include game format, fundraiser details, or sponsor info

Event Image (optional)

Helps brand your event with a custom logo or banner


🚩 Step 4: Select Your Golf Club

  • Type the name of your golf course in the search box.

  • Choose the correct golf club from the list.

  • Then select the specific course (if multiple are available).


⛳️ Step 5: Choose Format (9 or 18 Holes)

  • Select whether this is a 9-hole or 18-hole event.

  • This determines how many stops (holes) players will pass through to build their poker hand.

    • 9-Hole Event is a 9 card event with the option to add the extra card feature.

    • 18-Hole Event is a 10 card format (5 on the front, 5 on the back). There is no extra card option for this event type as there is a 10 card limit total per hand.


💰 Step 6: Select Your Sales Method

Choose how you want to collect registrations and payments for your golf event.

You will see three options:


🟢 Option 1: In-App Sales (Recommended)

Participants purchase hands directly in the app.
Registration and payments are processed securely through Stripe, and funds are deposited directly into your connected bank account.

How to set up:

  1. Select In-App Sales (Recommended).

  2. Enter your Fee per Hand.

  3. Tap Next.

That’s it! The system will handle registration, payment processing, and reporting automatically.

✔ Seamless registration experience


🔵 Option 2: In-Person Sales

Choose this option if you are collecting money outside of the app (cash, checks, external ticketing platform, etc.).

Participants will not be charged online. The app will still manage hands and leaderboards.

How to set up:

  1. Select In-Person Sales.

  2. Enter Registration Instructions explaining how participants should register.
    Example:

    • “Register at the check-in table.”

    • “Pay at the clubhouse before tee time.”

  3. Enter your Fee per Hand (for informational purposes only).

  4. Tap Next.

💡 Note: The fee entered here is displayed to participants but will NOT be processed through the app.

✔ Ideal for charity events collecting cash
✔ Works with outside payment systems
✔ Still uses QR code card dealing and leaderboard


🟣 Option 3: Test/Small Event (Up to 10 Participants)

Create a free event for testing or small private gatherings.

How to set up:

  1. Select Test/Small Event (Up to 10 Participants).

  2. Tap Next.

There are:

  • ❌ No fees to configure

  • ❌ No payment processing

  • ✅ Up to 10 participants allowed

✔ Great for demos
✔ Perfect for small family or friends events
✔ No Stripe setup required


Once your sales method is selected, continue through setup and proceed to the card dealing method.


🔹 Step 7: Select Card Dealing Method

Currently, QR Code Scanning is the only supported method for golf events.

  • Each hole will have a printed QR code that participants scan to receive their card.

    • QR Code signs should be placed at each designated tee box so participants can scan and collect their card for that hole. If they miss a hole, the next time they scan it will catch them up.

  • (Coming Soon: GPS-based card dealing that will automatically detect which hole you’re on.)


🗒️ Step 8: Publish or Skip

You can:

  • Tap Publish to immediately make your event live and available for registration

  • Or tap Skip to return to the Event Management screen to review or edit settings before going live


🔄 Make Changes Later

  • From Manage Events, select your golf event at any time to:

    • Edit event details

    • Add sponsors or prizes

    • View registrations and more


✅ Tips for Success

  • 📊 Add a leaderboard screen at the clubhouse to build excitement

  • 🎁 Consider offering extra cards as a paid add-on for fundraising

  • 🏢 Customize your event image and description to attract more players
