The Participants screen is your real-time roster during an event. It shows every registered hand, the status of cards dealt, and check-in state — all in one place. It's one of the most-used organizer screens on event day.
📍 Where to Find It
Manage Events → Select Event → Participants
👥 What You'll See
Each row in the Participants list represents a registered hand and shows:
Column | Description |
Participant Name | The name on the registered hand (user's display name or hand label) |
Hand Status | How many cards have been dealt out of the total required (e.g., 3 of 5) |
Check-In State | Whether the participant has been checked in — relevant for Will Call registrations |
Stops Visited | Number of stops the participant has checked into so far |
🔍 Searching and Filtering
Use the search bar at the top to find a participant by name.
Filter the list using the tabs:
All — Every registered hand
Will Call — Only participants who registered using Will Call
Not Checked In — Will Call participants who haven't been checked in yet
✅ Bulk Check-In
Bulk Check-In lets you mark multiple stops as visited for a single participant all at once — without them needing to scan QR codes or trigger GPS at each stop. This is useful for handling late arrivals, correcting missed check-ins, or assisting participants who had trouble checking in on their own.
📲 How to Open It
Go to Manage Events → Select Event → Participants
Tap a participant's row to open their detail view
Tap Bulk Check-In
🗒️ What You'll See
The Bulk Check-In modal shows the full list of event stops. For each stop:
A checkbox to select it for check-in
The stop name
Its current check-in status for this participant
Stops the participant has already checked into appear with a green check circle and cannot be re-selected.
▶️ How to Use It
Select the stops you want to check the participant into using the checkboxes
Tap Select All to quickly select every eligible stop at once
Tap Submit to apply the check-ins
Cards are dealt for each successfully checked-in stop immediately after submitting.
🔒 Hidden Stops
If your event has hidden stops, they appear in the Bulk Check-In list but are disabled and cannot be selected. A Hidden label is shown next to each one, and the Select All count and checkbox exclude them. Once you reveal a stop, it becomes available for bulk check-in.
⛔ Strict Check-In Mode
If your event uses Ordered Stops with No Skipping, participants must visit stops in sequence. Bulk Check-In respects this — only the next eligible stop(s) in order will be selectable. Out-of-sequence stops are disabled with an informative message.
💡 Tips
Use the Participants screen as your primary event-day dashboard to monitor who has checked in and who still needs attention.
If a Will Call participant needs activation, check them in from this screen first — then use Bulk Check-In to credit any stops they visited before being checked in.
Assign event assistants to help monitor the Participants screen during large events.
